Who we are
REACH is operated by The e-four Corporation (“we,” “us”). We provide a subscription service that helps high school student-athletes identify college athletic programs that fit them academically, athletically, and financially, and contact the coaches of those programs.
Our customer is the family. We are a general-audience consumer service purchased directly by parents and guardians. We are not provided by, contracted to, or operated on behalf of any school or school district, and we do not receive student records from schools.
Who holds the account
An account is created and paid for by a parent or legal guardian, who accepts these terms on behalf of their student-athlete. The student-athlete is given their own login to use the service. A student-athlete may start a sign-up themselves with their name, graduation year, sport, mobile number and a parent's email address. We use that email only to ask the parent to approve, and we send at most two reminders. While waiting, the student-athlete may also add their athletic marks. Nothing is sent to any coach or anyone else until the parent approves, and a sign-up that is not approved within 30 days is deleted with everything on it. The service is not available to children under 13.
A student-athlete who is 18 or older may instead create and own their own account by confirming their age during sign-up. That account has no parent or guardian on it: the student-athlete accepts these terms, pays for the service, and is the only person who sees their information and coach messages.
When a student-athlete reaches the age of 18, the account owner may transfer ownership of the account to them.
What information we collect
We collect only what the service needs to function:
- Account information — name, email address, and billing information for the parent or guardian. Payment card details are handled by our payment processor and are never stored by us.
- Athlete profile — name, graduation year, high school, sport, athletic performance marks, grade point average and any standardized test scores the user chooses to provide, intended fields of study, and preferences about school location, size, and setting.
- Family financial range — a self-reported annual amount the family can afford and a broad income band, used solely to estimate the net cost of attendance at specific institutions. We do not collect income documentation, tax records, account numbers, or credit information.
- Mobile phone number — if the athlete signs in with their phone, used only to text them a one-time sign-in code; and if the athlete chooses to turn on text alerts, along with a record of when and how they gave consent and any opt-out.
- Communications — the messages composed in the service, replies received at our reply-routing address, and coach emails forwarded to the athlete's private REACH address by a Gmail filter the athlete sets up (see below).
- Profile links — links to social media, video and results pages that the athlete chooses to add, such as a highlights channel. We store the link only. We do not log in to, read, copy or collect anything from those accounts.
- Photo — if the athlete chooses, one photo of themselves for the images they share. We crop and resize it and remove the location and camera details stored in the file. It is kept privately and shown only on the athlete's own share images, and on their public page only if they choose to show it there. It can be removed at any time.
- Writing style — if the athlete chooses, a few answers about how they like to write and a short passage in their own words, plus notes on the kinds of changes they make to drafts (for example, shorter sentences). Used only to make their drafts sound like them, and never shown to coaches or anyone else.
- Usage information — standard log data such as device type, browser, and pages visited.
How we use Google user data
With your explicit permission, we request a single Google account permission: gmail.send, which allows the service to send an email message from your Gmail account.
We use this permission for one purpose: to send an email that you have composed and approved to a college coach you have selected. Each message requires a separate approval action from you. We never send a message automatically or without your action.
We do not read, download, index, store, or process the contents of your mailbox. We do not have permission to do so, and we do not request it. We store a copy of the messages composed within our service so you can see your own correspondence history, and we store the delivery status of those messages.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
We do not transfer Google user data to third parties except as necessary to provide the service, and we do not use Google user data for advertising, for serving ads, or to build advertising profiles. We do not allow humans to read your Google user data except where you have given explicit permission for specific messages, where it is necessary for security purposes or to comply with applicable law, or where the data has been aggregated and anonymized.
You may revoke this permission at any time in your Google account settings or within our service. Revoking it stops us from sending further messages on your behalf.
Coach email you forward to us
Separately from the Google permission above, an athlete can choose to set up a filter in their own Gmail that forwards certain incoming email to a private REACH address. The athlete creates this filter in Gmail themselves, can see exactly what it matches, and can delete it at any time in Gmail's settings. It does not give us any access to the mailbox, and we do not use Google APIs for it.
The filter REACH suggests forwards email from college (.edu) addresses, from the specific coach addresses the athlete is writing to, Gmail's delivery-failure notices, and REACH's own check message. Because a filter like this can also catch other college mail, such as admissions messages, we keep a forwarded email only when it is from a coach the athlete is writing to (or a coach in our directory for a school on the athlete's list), or is a delivery-failure notice for an email sent through REACH. Every other forwarded email is deleted as soon as it arrives, along with its attachments. For those, we keep only a log line with the time and the sender's domain, so we can tell whether the filter is working.
Coach emails we keep are stored with the rest of the athlete's coach conversations, are visible to the athlete and their parent on the account, and are deleted with the account.
Anonymous records of how coaches respond
To tell athletes how quickly a college coach usually answers, and to time follow-ups, we keep an anonymous record each time an athlete emails a coach and each time a coach answers, writes first, sends an automatic reply, or an email bounces. These records hold the coach, the school, the date, the athlete's fit tier, division and event, and how many hours the answer took. They hold no message text, no names, and nothing that identifies the athlete or family: the athlete appears only as a one-way coded reference that cannot be turned back into who they were. Because they identify no one, these records are kept after an account is cancelled or deleted. Athletes see only a plain-language summary (such as “usually replies within 2 days”); coaches never see them, and we never publish them per coach.
Text messages
If an athlete turns on REACH text alerts, we use their mobile number only to send alerts about their own REACH account, such as a coach reply or a message waiting for their approval. We do not send marketing texts. Reply STOP to any text to opt out. Details are on our Text Alerts page.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.
Our text message provider processes phone numbers and message content only to deliver our messages, and may not use them for any other purpose.
What we never do
- We never sell student data. Not to advertisers, not to colleges, not to data brokers, not to anyone, under any circumstances.
- We never show advertising to students, and we never use a student's information to target advertising anywhere.
- We never build or sell profiles of students for any purpose other than operating the service the family purchased.
- We never share a student's information with a college except in a message that the student composed and personally approved, or on a public profile page that the student turned on and a parent approved (see below).
Public profile page and sharing
A student-athlete can turn on a public profile page to share with coaches and friends. It is off by default, and it is visible only while both the student-athlete has it turned on and a parent or guardian has approved it. Either can take it down at any time, and the page then stops working. It shows only the athlete's name, graduation year, sport, state, best marks and the profile links they choose, and the athlete can hide the marks or links. It never shows the athlete's high school, city, phone number, email address, meet names, the colleges on their list, costs, or anything about the family's finances. We ask search engines not to index it.
A student-athlete can also share images made in the app, such as their best mark or the names of their top college fits, using their own phone's sharing feature. When a new mark they enter is a personal record, we prepare an image and caption with that mark, the meet and the date, and let them know it is ready. Nothing is posted anywhere unless the athlete posts it themselves. Shared links include a short code from the athlete's handle so that, if a new family signs up from that link, we can record that the athlete referred them. We record only which account referred which.
Who we share information with
We use service providers to operate the service: hosting, database, payment processing, email delivery, text message delivery, and analytics. They may process information only as needed to provide those services to us, and may not use it for their own purposes.
We use Anthropic's Claude API, under Anthropic's Commercial Terms, to help draft message text (including a suggested reply to a coach, written from that coach's message, which reaches us through the athlete's REACH reply address or email forwarding), to extract public information from college athletics websites, and to read the results screenshots or text an athlete chooses to import. Imported screenshots and text are used only to read the athlete's own marks and are not stored. Google user data obtained through Google APIs is never sent to Anthropic or any other AI provider, and is never used to develop, train, or improve any AI or machine learning model. Anthropic does not train its models on data submitted through its commercial API.
We may disclose information if required by law, or to protect the safety of a user or the public.
How long we keep information
We keep account and profile information while the account is active. When an account is closed, we delete or anonymize personal information within 90 days, except where we must retain records to comply with law or resolve a billing dispute.
Because your outreach is sent from your own email account, your correspondence with coaches remains in your own mailbox and is unaffected by closing your account with us.
Your rights
A parent or guardian, or a student-athlete over 18 who owns their account, may at any time:
- Access the information we hold about them
- Correct anything that is wrong
- Request deletion of all of their information, which we will complete within 30 days
- Export their profile and correspondence history
- Revoke our access to their Google account
Write to privacy@efour.ai for any of these.
Security
We use industry-standard measures including encryption in transit and at rest, access controls, and isolation of each family's data at the database level. No system is perfectly secure, but we will notify affected users and, where required, the appropriate authorities, without undue delay if a breach affecting personal information occurs.
Changes
We will post any change to this policy on this page and update the date above. Material changes affecting how we use Google user data will be notified by email before they take effect.
